Policy text
Communication, deliberation and voting will be conducted via electronic media.

1. Nominations. Upon direction from the President-Elect, AAPM Headquarters will send a solicitation for nominees to all members of the Board of Directors. Each Board member will have 10 days to return to AAPM Headquarters up to 2 nominees for each position. Each nominee must meet the qualifications for service with the external organization. Each nominee should indicate their willingness to serve if elected. (2 Weeks)

2. Preparation of the ballot. If there are more than 3 nominees, the AAPM Executive Committee will select 3 nominees if only one name is requested by the external organization. Up to 6 nominees will be selected by the AAPM Executive Committee if 3 names are requested by the external organization. Nominees will be required to provide a statement of interest and qualifications. (2 Weeks)

3. Board Ballot and Results. The AAPM secretary will notify the Board of the availability of the electronic ballot. Each board member has 5 days to vote. Choices are to be ranked numerically (3 points for 1st place, 2 points for 2nd place, 1 point for 3rd place). If there are less than 3 nominees, the ranking must be adjusted appropriately. The AAPM Secretary will be responsible for the integrity of the election process and will send the numerical results of the election to the chairman of the board and the president. If the chairman of the board or the president is a nominee, the secretary will designate another member of EXCOM to review the vote. The nominee(s) receiving the highest score(s) will go forward as the AAPM selection(s). (2 Weeks)

4. Notification. The AAPM President will notify the nominees and the Board of Directors as to the results of the election and will ask the successful nominee to provide any additional information required by the external organization. The AAPM President will send a letter notifying the external organizations of the result of the AAPM's selection process. (1 Week)

Conflict of Interest. To avoid any conflict of interest, any AAPM officer or member of the board, who becomes a nominee at any time during the process, shall withdraw from further participation in the process (with the exception of the right to vote as a board member).

Reappointment. If the ABR allows reappointment for a second term, then the AAPM President shall, by vote of EXCOM, invoke one of the following options:

1. Submit the name of the sitting representative to the external organization for reappointment.
2. Invoke the full process described above.
