- All AAPM Reports will be made available to members and the public through the AAPM website, regardless of the publication type.
- Councils are responsible for budgeting costs necessary for report publication from groups under that council. Councils will determine the appropriate means of budgeting costs.
- Reports will be submitted with a cover sheet specifying if it will be submitted to a journal or published as a stand alone report. In case of journal submission, the target journal should be stated on the cover sheet. This is required for Council and EXCOM states of review.
- All reports must disclose conflicts of interest following AAPM guidelines (see Volunteer Handbook).
- To support a comprehensive review process, the response to prior reviews will be provided to those voting on the report.
REPORTS PUBLISHED IN A JOURNAL
- The report review process for different types of AAPM reports is described in the Volunteer handbook.
- Reports that are requested to be published in a journal must meet the requirements of both the journal and the AAPM. Final approval is required by the AAPM before publication (see volunteer handbook).
- If an Executive Summary is published in an AAPM or non-AAPM journal, the full text of the report should be made available on the AAPM website following the publishing guidelines of stand alone reports (noted below).
- In limited situations, a group may request to publish a report in a non-AAPM journal. This requires approval of the chairs of the parent committee and council.
- Note that some flexibility may be required, especially when reports are published in non-AAPM journals. The council chair, in conjunction with the chair of the EMCC, will have the ability to negotiate specific arrangements for a given report, if necessary.
STAND ALONE REPORTS (those not published in a Journal)
- Once the report is officially approved by the AAPM (see Volunteer Handbook), the Council HQ Staff Liaison will notify the group Chair of the approval and request submission of the report to AAPM HQ Staff.
- It is the responsibility of the group Chair to submit the final version of the report.
- Authors must prepare reports following the guidelines provided by Medical Physics Publishing (MPP), www.medicalphysics.org (see Volunteer Handbook for the link to the instructions).
- AAPM staff will process the report in accordance with the Medical Physics Publishing agreement.
- Medical Physics Publishing will provide an electronic proof to the Chair before the report is published through the AAPM website.
