A Custom Dynamically Updated Patient Plan Tracking System

Purpose: The purpose of this project was to create a system for tracking a patient's treatment plan through the steps required to prepare it for delivery. This tracking system is dynamically tied to the patient's electronic chart, and will allow team members to immediately see all patients currently in the planning process, and determine what is needed.

Methods: A care path was created in the Aria Oncology Information System with each hand-off point for the patient identified. The state of each task relevant to planning is queried using SQL, and the results are compiled into a whiteboard system. Additional features including daily High-Dose treatments, patients with Verification Simulations scheduled without deliverable plans, and End of Treatment alerts have been added to provide a single location for review of all critical parameters for the physics division.

Results: The electronic white board is able to list all patients whose care paths place them in the planning section of the process. This has allowed us to add features which would not be possible with the prior analog white board, and eliminate it entirely.

Conclusion: The electronic patient tracking board implemented here has greatly improved the ability for the department to follow through on all patients in the planning process, and created a central location for reviewing pending plans.
