GENERAL INFORMATION
 


CONTINUING EDUCATION OPPORTUNITIES

AAPM has applied to the Commission on Accreditation of Medical Physics Education Programs (CAMPEP) for accreditation of the 1998 Annual Meeting. For each hour of verified attendance (this includes scientific sessions, poster sessions, symposia, professional and educational courses), 1 MPCEC hour of credit will be awarded. After the meeting, registrants will be sent a transcript that lists a description of the sessions and the number of continuing education credits obtained.

REVIEW COURSES

The 12th Annual Medical Physics Review Courses, organized by the AAPM Continuing Education Committee, will be offered Saturday, August 8 and Sunday, August 9 at the Henry B. Gonzales Convention Center. There will be two courses offered, one in therapy and one in diagnostic medical physics. The courses will be held concurrently from 8:00 am - 6:00 pm on Saturday and 8:00 am - Noon on Sunday. Registration for the Review Courses is in addition to the Annual Meeting Registration. Register through AAPM Online or contact AAPM Headquarters at (301) 209-3350 for Review Course registration forms.

REGISTRATION DISCOUNTED: PRIOR TO JUNE 15

Registration is required for all attendees and guests who wish to attend ANY AAPM Annual Meeting functions. Tickets will be collected for all social programs and name badges will be required. Register with credit card information on-line through AAPM On-Line. Take advantage of discounted registration fees by registering by June 15th. No refunds will be made for cancellations received after July 1. Registrations received before July 1 will be acknowledged by mail.

Registration will be held on the street level of the Henry B. Gonzales Convention Center located at 200 East Market Street. Registration will be open from Saturday, August 8 - Wednesday, August 12, from 7:00 am - 6:00 pm, and on Thursday, August 13, from 7:00 am - 11:00 am.

Students

- To register as a "Student Weekly" or a "Student Daily," you must be a current Student Member of the AAPM; other AAPM Member types are not eligible. If you are not an AAPM Member, but you are a full-time student in a graduate medical physics program, you must include a letter from your Program Director that includes: the name of the program, the name of the institution and its address, phone, fax and E-mail of the program director, the type of degree that you expect to receive, and your start date and expected end date of study. Failure to include this letter will render your registration incomplete.

TECHNICAL & SCIENTIFIC EXHIBITS

All scientific sessions and technical and scientific exhibits will be held in the Henry B. Gonzales Convention Center. The technical exhibits will be open from 9:30 am - 5:30 pm, Monday, August 10 - Wednesday, August 12. The scientific exhibits will be open from 7:00 am - 11:00 pm, Monday, August 10 - Wednesday, August 12 and 7:00 am - Noon on Thursday, August 13. "Young Adult" registrants (ages 12 - 17) will be allowed in the exhibit hall with adult supervision. "Child" registrants (age 11 and under) will not be admitted.

TRAVEL ARRANGEMENTS

AAPM has appointed Conventions in America as the official travel agency to coordinate all travel arrangements for attendees of the 40th Annual Meeting. American, Southwest and Continental Airlines are the official co-carriers for the meeting. Alamo Rent-A-Car is offering special rates for car rentals.

HOTEL ACCOMMODATIONS DEADLINE: July 2

The San Antonio Convention and Visitors Bureau will be handling the hotel reservations for the 40th AAPM Annual Meeting. Housing requests must be made on the "Housing Request Form" in this packet and returned to the Housing Bureau. Convention rates are available at seven downtown San Antonio hotels. The Hilton Palacio del Rio has been designated the Headquarters Hotel. See "Housing Information" page for hotel locations and rates.

If you are interested in sharing your hotel room, please contact HQ by June 10 via E-mail to akeyser@aapm.org or fax (301) 209-0862. A list of names and phone numbers will be faxed to you by June 12. It will then be your responsibility to contact others on the list and arrangements to split costs.

NEW MEMBER SYMPOSIUM

New members of the AAPM are sometimes overwhelmed by the size and complexity of the Association. They may be discouraged from taking full advantage of its benefits or from participating in some activities. The leadership of the Association recognizes that this situation exists, and has undertaken to make the Association more accessible to new members. A symposium entitled "The AAPM: An Introduction to New Members" will be held on Wednesday, August 12 from 4:00 - 5:30 pm -- immediately preceding the 1998 AAPM Annual Business Meeting. This session is intended to any interested members to both the organization of the Association, and to its officers and representative senior members.

1998 AAPM ANNUAL BUSINESS MEETING

Make plans to attend the 1998 AAPM Annual Business Meeting where the AAPM Executive Committee members, council chairs and some committee chairs will report on the status of the organization. The Annual Business Meeting will be held on Wednesday, August 12 from 5:45 pm - 6:45 pm.

CHILD CARE

The AAPM will not be sponsoring child care during this meeting. The concierge of your hotel may be able to assist you with special child care arrangements.

*** NEW FOR 1998 - CASUAL ATTIRE ***

The official dress code for the 1998 meeting is CASUAL. Coats, ties, dresses, and heels are discouraged. This includes vendors!

TAKE ME OUT TO THE BALL GAME

The San Antonio Missions (the AA affiliate of the Los Angeles Dodgers) play the Midland Angels on August 10 - 14. The ballpark is located approximately 15 minutes from downtown. To reserve your seats, contact Jimi Olsen, Assistant General Manager, at (210) 675-7275.

SOCIAL PROGRAM

Icebreaker

- Plan to attend this opening event on Sunday, August 9, from 6:30 pm - 8:30 pm along the San Antonio Riverwalk. Light hors d'oeuvres will be served. Each ticket for the event will include two drink tickets.

Awards Ceremony & Reception

- Recipients of special awards will be honored during a ceremony followed by a wine and cheese reception at the Hyatt Regency on Monday, August 10, from 6:00 pm - 8:30 pm.

Night Out

- In traditional AAPM style, we will try to make this evening a truly memorable one. We have rented the entire La Villita Plaza for our exclusive use. La Villita contains some of the oldest buildings in San Antonio, dating back to the 1700's when the Spanish founded the city. Over the last 20 years or so, Little Village has been restored and some buildings added to include shops and art galleries.

We are fortunate that the same caterer who served us at the 1988 international conference will be here to provide us with food and entertainment. As you would expect, the evening is intended to be very casual, with multiple food courts set-up around the plaza serving all varieties of traditional Southwestern and Mexican dishes. Attendees will be able to help themselves to all the margaritas, beer and soft drinks they want, to help wash down everything from Texas BarBQ to Mexican tamales and fajitas. But save room for desserts because there will be plenty of those, too.

To keep us entertained there will be at least four bands ranging from country western to Mexican mariachis. You can dance, sing along, or just listen, or, if you prefer, browse the shops. There will also be some fun games for your participation.

If you are looking for a quiet, relaxing evening, we suggest you NOT come to the Night Out. But.......you'll be sorry you missed it.

SUMMER SCHOOL

Two concurrent Summer Schools will take place on the campus of the University of Wisconsin - Madison. "Imaging in Radiotherapy" will be held June 21 - 25 and "Advances in Nuclear Medicine: The Medical Physicists' Perspective" will be held June 21 - 23.
